Refund & Cancellation Policy

Legal Entity: One Future Conference lnc (“One Future”, “we”, “our”)

1. Purpose and Scope

This Refund & Cancellation Policy governs all payments made to One Future Conference lnc for participation in any of our conferences, programs, or events.
By submitting an application, registering for an event, or making any payment, you acknowledge that you have read, understood, and agreed to this Policy, as well as our Terms and Conditions and Privacy Policy.

This Policy ensures fairness, transparency, and compliance with Canadian consumer and e-commerce regulations.

2. Funded Categories — Application Fee

2.1 Mandatory and Non-Refundable

Applicants to the Fully Funded and Partially Funded categories (collectively referred to as Funded Categories) must pay a non-refundable application processing fee at the time of submission.
This fee is mandatory, non-refundable, and non-disputable under all circumstances, including but not limited to:

  • Non-selection or rejection of the application
  • Visa refusal or delay
  • Withdrawal for personal, professional, or medical reasons
  • Event postponement, venue change, or travel restrictions

2.2 No Guarantee of Selection or Participation

Payment of the application fee does not guarantee selection or participation. All applications are reviewed by an independent selection committee, and its decision is final and binding.
The fee serves solely as an administrative and processing charge used toward reviewing applications and operational logistics.

3. Visa Invitation Letter Category

3.1 Non-Refundable and Non-Transferable

Payments made under the Visa Invitation Letter Category are strictly non-refundable and non-transferable under all circumstances.

3.2 Scope of Service

One Future provides an official visa invitation letter and limited embassy coordination to support participants’ visa applications.
We do not act as an immigration or visa agency, nor do we influence or guarantee visa outcomes.
Visa issuance remains the sole authority of the relevant embassies or consulates.
In case of visa denial or travel restriction, no refund, voucher, or transfer will be provided.

4. Conference Pass and Student Pass Categories

The Conference Pass and Student Pass (a discounted version of the same category) are paid participation categories that guarantee confirmed seats upon successful registration and full payment.

Refunds for these categories are provided in the form of credit vouchers, as detailed below.

5. Credit Voucher Policy

5.1 Conditions for Eligibility

To qualify for a credit voucher:

  • A written request must be submitted within 30 calendar days after payment.
  • The participant must have paid the Conference Fee in full (installment payments are not eligible).
  • Credit vouchers apply only to the Conference Pass and Student Pass categories.
  • Credit vouchers are non-transferable, non-redeemable for cash, and can only be used once.
  • Credit vouchers are valid for one (1) year from the date of issuance and can be redeemed only for future One Future events.
  • Any voucher issued will be minus applicable taxes paid at the time of registration.

5.2 Refund / Credit Schedule

Refund eligibility is determined by the number of days prior to the event when the cancellation request is received:

Requests made fewer than 29 days before the event, or after the event has begun, are not eligible for any credit.

5.3 Request Procedure

To apply for a credit voucher:

  1. Send an email to hello@one-future.org within 30 days of payment.
  2. Include:
    • Full name
    • Registration ID
    • Proof of payment
    • Reason for cancellation
  3. Once reviewed and approved, a credit voucher will be issued electronically within 15 business days.

6. Travel Reimbursement for Funded Candidates

6.1 Eligibility and Conditions

Fully Funded delegates are eligible for a capped airfare reimbursement provided they:

  • Attend the entire event in person;
  • Submit valid proof of travel (boarding passes, airline receipts, or e-tickets); and
  • Comply with all participation and reporting requirements established by the Organizer.

6.2 Reimbursement Timeline

Travel reimbursements for eligible delegates will be processed within four (4) to six (6) weeks after the event concludes.
Failure to attend the full event or submit proof of travel will result in forfeiture of reimbursement eligibility.

7. Chargebacks and Payment Disputes

By completing any payment through One Future’s official website, application portal, or authorized partners, you acknowledge and agree to our:

  • Terms & Conditions
  • Refund & Cancellation Policy
  • Privacy Policy

All payments are final. Participants waive the right to initiate chargebacks or disputes through their banks or payment processors.
If you experience an issue, contact finance@onefuture.org for assistance.
Unauthorized chargebacks may result in permanent disqualification from future events and legal recovery action.

8. Force Majeure and Event Changes

In the event of unforeseen circumstances—such as pandemics, natural disasters, political unrest, travel restrictions, or other events beyond our control—One Future reserves the right to reschedule, modify, or cancel the event.
In such situations, all paid fees may be converted to credit vouchers for future events. Cash refunds will not be issued.

9. No-Show Policy

Failure to attend the event without prior written cancellation will be considered a No-Show.
No refund, voucher, or reimbursement will be provided for No-Show participants.

10. Non-Responsibility for External Factors

One Future shall not be held liable for losses, expenses, or damages caused by external factors such as visa rejections, delayed flights, illness, natural disasters, or political restrictions.
Participants are encouraged to maintain travel and health insurance covering potential contingencies.

11. Taxes and Currency

All fees are quoted in USD unless otherwise stated. Applicable taxes (including GST/HST where required) are calculated at checkout.
Credit vouchers and reimbursement values are based on the net amount excluding taxes.

12. Amendments

One Future reserves the right to update, modify, or revise this Refund & Cancellation Policy at any time.
All changes become effective immediately upon posting on our official website.

13. Governing Law

This Policy and any related disputes shall be governed by and construed in accordance with the laws of Canada, specifically the Province of Ontario.
All disputes shall be resolved exclusively within the courts of Ontario, Canada.
